Current information regarding submissions
Documents pertaining to AMG studies may be submitted electronically with immediate effect. Sending documents by mail is no longer possible!
You may submit the documents via our online platform, which you will find under: https://www.ek01-hd.de (only German version available!)
- You must create an account to submit documents. You may do this by clicking “Erstmalige Anmeldung” in the section called “Antragsteller”.
- After registering, you may submit the documents by clicking the button “AMG-Studie einreichen” in the Section “AMG Studien Antragsteller”.
- Please click on “SUSAR einreichen” to submit one or more SUSAR reports.
- ZIP files or PDF files are accepted for submissions. Please avoid special characters in the file name (including dots [.]). There is no size limit for the files.
Should you have any problems with submitting your documents via the online platform, you may continue to submit your documents to the following email address: V-ETHIK.AMG(a)med.uni-heidelberg.de
- For technical reasons, there is a size limit per email. Therefore, only attachments of 20 MB at most may be sent via email. If you must submit larger quantities of data, please split the documents accordingly and send them to the foregoing address in multiple emails.
- Insofar as a study number was assigned by the Heidelberg Ethics Committee, please indicate this in the subject line of the email(s).

Please use our online platform for your submission: https://ek01-hd.de. This is very easy to use and secure as the transmission to our server is encrypted and the size of the submission is not limited.
If it is not possible for you to submit your documents via our online platform, you may also send your submission to one of the following email addresses:

Other studies: submission via e-mail is not possible!
However, we advise against a submission via email, as the transmission is not encrypted and the size per email is limited (max. 20 MB/email), which represents a possible source of errors for large submissions which have to be divided into several emails.

When submitting documents, please also note that the Heidelberg Ethics Committee (EKHD) does not accept the following file formats:
.doc / .docx (Microsoft Word)
.ppt / .pptx (Microsoft Powerpoint)
.xls / .xlsx (Microsoft Excel)
.odt (OpenOffice / Libre Office Writer)
.odp (OpenOffice / Libre Office Impress)
.sxc (OpenOffice / Libre Office Calc)
Documents should preferably be submitted as PDF files.
Insurance policy & terms and conditions of insurance
The copy of the insurance policy (confirmation of insurance) must be submitted together with the terms and conditions for insurance coverage when submitting the application documents (these documents cannot be submitted later!)
